The Accounting Specialist Grants is responsible for ensuring accurate allocation of transactions in alignment with fully executed grant agreements and addendums. This role provides analysis and strategic recommendations to optimize the use of grant funds across multiple programs. In addition to grant-related duties, the Accounting Specialist supports the Finance Department with reconciliations, journal entries, correcting inaccuracies, and identifying opportunities to strengthen internal controls, streamline processes, and improve workflow efficiency. Routine tasks are expected to be completed independently, while more complex responsibilities may require guidance from the Finance Director. This position offers the opportunity for professional development and potential advancement into a management role within the Finance Department, based on performance and at the discretion of the Finance Director.

Responsibilities

  • Gain a working knowledge of Rogue Retreats programs, funding streams, and grant structures to ensure accurate and compliant accounting practices.
  • Review and interpret grant agreements to identify allowable expenses; ensure proper coding and allocation of transactions accordingly.
  • Monitor grant activity, track expenditures, and prepare timely and accurate grant invoicing, ensuring follow-up on outstanding payments.
  • Run and analyze reports from accounting systems to ensure financial data aligns with grant requirements; identify and correct errors as needed.
  • Maintain strong relationships with grant administrators and provide documentation or clarification as needed for compliance or audit purposes.
  • Recommend improvements to accounting systems, processes, or controls to increase efficiency and compliance with GAAP and regulatory requirements.
  • Contribute to Finance team cross-training, support onboarding of new staff, and participate in collaborative projects and financial process improvements.
  • Actively participate in staff meetings, trainings, and uphold the organizational values outlined in Rogue Retreats Culture Compact.

Essential Functions Accounting Specialist

  • Perform bank and credit card reconciliations; ensure timely and accurate recording of transactions in the general ledger.
  • Assist with general bookkeeping tasks including journal entries, correcting misclassifications, and month-end close support.
  • Coordinate with the Development Department to ensure proper recording and reconciliation of capital and in-kind donations.
  • Provide backup support for accounts payable, including invoice processing and vendor communication.
  • Participate in ongoing financial training, including leadership development opportunities as part of a potential pathway to management.
  • Complete additional duties as assigned in support of the Finance Department; this list is not intended to be exhaustive.

Qualifications

  • Strong clerical and technical skills including typing, spreadsheet creation, data entry (ten-key by touch), and use of modern office equipment.
  • Proficiency in Microsoft Office Suite, particularly Excel (including formulas, pivot tables, and data validation) and Word.
  • Solid understanding of accounting principles, internal controls, and standard financial practices.
  • Ability to interpret and apply technical concepts including debits and credits, general ledger structure, and compliance with applicable laws and regulations.
  • Exceptional attention to detail, accuracy, and consistency in handling financial data and supporting documentation.
  • Strong written and verbal communication skills, including the ability to document and explain procedures clearly.
  • Ability to work independently, manage multiple responsibilities, and meet deadlines with minimal supervision.
  • Professionalism in responding to inquiries from coworkers and external partners, with a service-oriented mindset.
  • Effective at problem-solving, identifying discrepancies, and suggesting improvements to processes or systems.
  • Able to maintain confidentiality and exercise sound judgment when handling sensitive financial or personnel information.
  • Capacity to remain organized, composed, and productive in a fast-paced environment with frequent interruptions.
  • Team-oriented, with a proven ability to build and maintain positive working relationships.
